Configuring and Applying Smart Keywords
As of Portfolio version 3.6.0 ( and higher ) , Extensis accounts with an active Annual Service Agreement have unlimited access to Portfolio's Smart Keywording engine ( keyword tags automatically generated via Artificial Intelligence assisted image recognition ) free of charge
It’s easy to set up and start Smart Keywording. Simply follow these steps:
Configure Smart Keywords
- Within the Portfolio Administration Web interface , select the Catalogs section.
- Select the desired catalog.
- Select the Smart Keywords configuration section.
- Check the box labeled Use Smart Keywords in this Catalog.
- You can check the box labeled Smart Keyword newly cataloged assets to automatically add Smart Keywords to assets as they are cataloged.
- Use the sliders to set the maximum Number of Keywords (1 to 20) and the Confidence Level (1 to 100) of the returned Smart Keywords.
- Setting the maximum number higher does not guarantee that more keywords will be returned.
- The Confidence Level is an estimate of how accurately the returned Smart Keywords will match the image submitted; a higher number will probably result in fewer, and possibly no, Smart Keywords being returned.
- Under Smart Keyword Engines, choose the keyword categories (“engines”) to make available to your users. They will have the option of selecting from among the categories that you enable here.
- Under Languages, choose the languages for returned Smart Keywords to make available to your users. They will be able to choose from among the languages that you enable here.
Apply Smart Keywords to Images
- Within the Portfolio Desktop Client or Web Client interface , select one or more assets you want to add Smart Keywords to.
- Right-click the selected assets and select Suggest Smart Keywords…
- Select the desired Smart Keyword Engines ( note that additional Smart Keywording Engines and Languages can be enabled via the instructions outlined within the Configure Smart Keywords section ).
- Click Suggest Smart Keywords
- When the Smart Keywording job has completed, click the Refresh button to display the returned results ( Smart Keywords will appear directly within the Keywords field as highlighted green values ).
Tips for Smarter Smart Keywords

- Don’t use Smart Keywords if the Catalog's Keywords field has been configured to "Allow Only Predefined Values".
- Smart Keywords values will not be applied if not listed within the Keywords predefined values.
- Apply Smart Keywords before manually adding Keywords.
- This approach often saves time as well as providing focus on workflow specific tagging.
- Don’t apply Smart Keywords more than once per asset
- Additional attempts will not yield different results.
- Only apply Smart Keywords to "flat" images.
- Returned values for videos, panoramic images, and documents will typically be of limited value.
- Smart Keywording is not perfect
- The Artificial Intelligence engine works best at recognizing common elements ( and even celebrities ) shown within vivid imagery. Abstract and/or poor quality images will often not yield relevant results.
- Monitor results to determine Smart Keyword return rate and accuracy
- Experiment with adjustments to the Number of Keywords and/or Confidence Level to improve the desired accuracy.
- Don’t use Smart Keywords if the Catalog's Keywords field has been configured to "Allow Only Predefined Values".
